As the Receptionist and Operations Assistant at flowork, you will be the initial touchpoint for clients, visitors, and callers, embodying our company’s values through a blend of professionalism and genuine warmth. This role calls for exceptional communication skills, a proactive mindset, and a meticulous approach to managing daily administrative responsibilities. You will collaborate closely with the operations team to ensure seamless functionality within the flowork Business Center, fostering a welcoming and engaging environment for everyone who steps through our doors.
Key Responsibilities:
Client and Visitor Management:
- Greet, welcome, and direct visitors and clients in a friendly and professional manner.
- Provide general assistance and information to clients as needed.
Operational Support:
- Assist the operations manager with day-to-day tasks and ensure office assistants are operating effectively.
- Maintain security protocols by following established procedures.
Administrative Tasks:
- Answer and manage phone calls professionally, handling inquiries and transferring calls to the appropriate departments.
- Book and coordinate boardroom and meeting room reservations.
Team and Center Support:
- Contribute to a cohesive work environment by supporting team efforts and assisting the center manager with various tasks.
- Maintain the operational team’s effectiveness by ensuring continuity in duties and providing feedback on ongoing needs.
Requirements:
- Strong communication skills and a customer-oriented mindset.
- Ability to multitask and prioritize in a dynamic, fast-paced environment.
- Familiarity with administrative software, including similar CRM tools.
- Experience in a client-facing role is preferred.
