Participate in preparing the Library’s strategic plan, develop the Department’s operational plan, and define performance indicators.
Develop policies, procedures, regulations, and technical requirements related to archive management in accordance with best practices.
Monitor administrative processes including planning, budgeting, reporting, service delivery, evaluation, and continuous improvement.
Prepare the Department’s annual budget proposal.
Manage organizational units within the scope of supervision, oversee their performance, prepare periodic performance reports, and submit recommendations and improvement proposals to the direct supervisor.
Strengthen relationships with internal and external stakeholders to ensure services are delivered in accordance with the highest standards.
Manage subordinates, develop their capabilities through structured development plans, evaluate their performance, and motivate them in accordance with the Library’s policies and procedures.
Conduct periodic follow-up on performance indicators, review achievement rates, and prepare the Department’s annual report for submission to the direct supervisor.
Ensure the availability of human, financial, and technical resources required for the efficient and effective execution of operations and activities.
Represent the Department at events as assigned by the direct supervisor.
Oversee the development of policies, regulations, and organizational and technical procedures to enhance the Department’s services in line with local and international best practices.
Oversee the preparation and implementation of an annual plan for organizing and processing paper archives, including indexing, description, preservation, disposal, and capacity building, in accordance with the records lifecycle.
Oversee the development and implementation of an annual training and advisory plan based on needs assessment, including the design of specialized programs and measurement of their impact on institutional performance improvement.
Oversee the development and monitoring of archival policies and standards implementation, provide training and awareness to relevant stakeholders, and ensure comprehensive oversight of government and historical records management within the Library.
Oversee coordination with government entities in the Emirate to enhance their archival systems and ensure the application of approved policies and procedures.
Oversee the development of general policies, controls, and technical procedures related to archive management within the Library, including the organization of government records, collection of historical archives from entities and individuals, classification of paper, digital, and multimedia materials, digital transformation, preservation, and restoration, ensuring compliance with professional standards and recognized local and international practices.
Oversee comprehensive assessments and diagnostics of archival conditions within government entities and prepare technical reports with improvement recommendations.
Oversee government records inventory processes, receipt of documented lists, and organization of records disposal procedures in accordance with approved regulations.
Oversee the design and implementation of specialized training programs and professional certifications in records and archives management, conduct workshops and training sessions for government employees, and transfer global best practices and expertise in the field.
Oversee the implementation of professional and technical awareness programs for government entities to ensure compliance with modern archival systems.
Oversee the development of technical, educational, and awareness guidelines to support continuous improvement efforts across government entities.
Oversee the provision of technical and field support to government entities seeking to develop their archival systems and monitor implementation processes.
Oversee the collection of historical archives related to the Emirate of Dubai from various local and international sources, including classification, indexing, and preservation in accordance with global standards.
Oversee the management of private historical records, photographs, maps, audiovisual recordings, and oral history materials.
Oversee the preparation of periodic reports, including specialized reports, to ensure effective oversight, governance of departmental operations, and support for decision-making and performance improvement.
Perform any other duties or responsibilities related to the nature of the Department’s work as assigned by the direct supervisor.
