Core Duties and Responsibilities

  • Visitor Management: Warmly welcoming clients, directing them to the appropriate person, and managing visitor logs/badges.
  • Communication Hub: Answering, screening, and forwarding incoming calls, as well as managing general email inquiries.
  • Administrative Support: Scheduling meetings, booking rooms, filing documents, photocopying, and handling mail/deliveries.
  • Front Office Organization: Ensuring the reception area is tidy, orderly, and well-stocked with office supplies.
  • Security & Safety: Monitoring front-door access and adhering to safety procedures.

Required Skills and Qualifications

  • Communication: Exceptional verbal and written skills for professional correspondence.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (printers, fax machines).
  • Organization: Strong attention to detail for managing schedules and records.
  • Customer Service: Ability to remain calm and professional while multitasking in a fast-paced environment.
  • Education: A high school diploma or equivalent is required, with relevant experience or certifications in office management often preferred.
