Roles & Responsibilities
Position: Receptionist & Admin
Location: Dubai, UAE
Key Responsibilities
Welcome clients, visitors, and guests in a professional and courteous manner.
Manage the front desk and ensure the reception area is clean and well-organized.
Answer, screen, and direct incoming phone calls and emails promptly.
Handle incoming and outgoing courier services, mail, and deliveries.
Schedule appointments, meetings, and maintain meeting room calendars.
Maintain visitor logs and employee attendance records.
Coordinate office supplies, pantry items, and stationery inventory.
Liaise with vendors for office maintenance, repairs, and facility-related requirements.
Support the HR team with employee onboarding, documentation, and record maintenance.
Prepare correspondence, reports, and other administrative documents.
Maintain physical and electronic filing systems while ensuring document confidentiality.
Coordinate with internal departments to ensure smooth day-to-day office operations.
Provide administrative support to management and perform other duties as assigned.
Preferred Qualifications
Bachelor's degree or equivalent.
2–5 years of experience as a Receptionist or Administrative Executive.
Excellent verbal and written communication skills in English.
Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
Strong organizational and multitasking abilities.
Professional appearance and customer-focused attitude.
Previous UAE experience is an added advantage.
Desired Candidate Profile
Minimum 2 years of experience in Receptionist and Admin in Healthcare, Wellness or pharmaceutical industry needed.
Exceptional verbal and written communication skills for presentations and negotiation.
A strong, proactive focus on meeting and exceeding targets.
Ability to build rapport, trust, and long-term relationships with clients.
