Reporting to the COO, this leadership role will be responsible for defining and maintaining residential operating standards, ensuring exceptional owner experiences, and driving consistency, quality, governance, and financial oversight across all Aman Group Residences. In addition, the role will oversee residential governance frameworks, including Homeowners Associations (HOAs), condominium associations and similar owner-led entities, ensuring effective management, regulatory compliance, transparent communication, and alignment with Aman’s brand standards across the global portfolio.<br><br>Working closely with the Residences, Development, Sales, Legal, Finance, and Hotel Operations teams, the successful candidate will also play a key role in shaping the operational foundations of new residential projects from concept through to opening, ensuring every Aman and Janu residence reflects the brand’s renowned service standards, strong community stewardship, and long-term value proposition.<br><br>Responsibilities:<br><br>Develop, document, and maintain the Aman Residences operating standards across resort-integrated and urban formats. Lead pre-opening planning for new residential openings, from countdown through to stabilization. Establish HOA and residential governance frameworks during the development and pre-opening phases, ensuring a seamless transition to ongoing operations. Define service scope, staffing models, resident experience, amenity programming, and residence care in keeping with the wider Aman brand philosophy. Oversee residential operations across all managed properties, establishing measurable service standards and a regular program of quality reviews. Introduce structured measurement of owner satisfaction and lead the response to its findings. Guide and support Residence Managers and property leadership teams, acting as the senior point of reference for residential operational matters. Lead the operational oversight of Homeowners Associations (HOAs), condominium associations, and comparable residential governance structures, ensuring effective administration, owner engagement, and alignment with brand standards. Provide strategic guidance on community governance, association budgets, reserve funds, service charge structures, board relations, and regulatory compliance. Foster strong relationships with owners, association boards, and resident committees, ensuring transparent communication and effective resolution of operational and community matters. Hold complete oversight of residential rental operations globally. Lead the implementation of the residential rental program globally. Review project designs from an operational perspective, advising on back-of-house provision, staffing flows, amenity planning, and long-term community management requirements. Provide operational input to management agreement discussions in partnership with the Development and Legal teams. Lend expertise for all new residential property openings for Aman and Janu Residences when required, typically three to four years prior to official project opening.<br><br>Requirements:<br><br>A minimum of 15 years' experience in luxury hospitality, branded residences, or high-end residential operations, including at least five years leading across multiple properties or regions. At least five years within luxury branded residential developments or a directly comparable branded-residences business, with residence owners as the principal client. Demonstrated experience working with Homeowners Associations (HOAs), condominium associations, strata organisations or similar owner-governed residential entities, including board engagement and community governance. Strong financial acumen, with direct experience of budgets specific to residential services, including service charge construction, cost allocation, reserve planning, capital expenditure forecasting, and financial reporting to owners and association boards. Experience of both resort-integrated and urban residential formats is an advantage, as is pre-opening experience on a residential or mixed-use project. Familiarity with residential management agreement structures, governance documentation, and owner association frameworks is highly desirable. Excellent stakeholder management skills, with the ability to build credibility and trust with ultra-high-net-worth homeowners, resident boards, developers, and operational teams. A bachelor's degree is required; an MBA or comparable postgraduate qualification is preferred. In this role, you'll manage the end-to-end delivery of retail fit-out and construction projects, ensuring they're completed on time, within budget, and to the highest quality standards.<br><br> <br><br>What you'll be doing<br><br>Functional Roles and Responsibilities<br><br> Prepare a project execution plan in consultation with Business, Design and the Developers in order to accomplish its objectives within constraints of time, quality and approved budgets. Implement approved procedures for tendering, selection and appointment of contractors, labor matters, payment terms, dealings and communication between all parties – clients, architects, consultants and contractors, and redresses of issues for effective coordination and collaboration. Develop project strategic program detailing key milestones including concept and detail design delivery, procurement of direct supply items, contractor‘s scope of work extending to construction period and handover date to the Client. Manage the design process for the project ensuring the agreed design milestone deliverables are met in accordance with the project program. Float tenders, invite proposals, analyze and recommend to senior management, the list of vendors / subcontractors / suppliers capable of executing projects within agreed time and cost. Review and approve the drawings submitted by contractors and ensure that they are examined by all parties concerned i.e., Business, Marketing, Landlords and local authorities. Coordinate with Consultants and contractors (where applicable) on all issues pertaining to drawings, programs, schedules and ensure timely resolution of all issues. Also monitor progress against the project program and keep the Management and Business updated on project progress through clear and transparent communication. Manage all aspects of the individual project contract requirements to ensure contract deliverables are adequately addressed and closed out at project completion. Conduct quality checks to ensure that the materials meet all client specifications, coordinate with all concerned to ensure adherence to quality, health and safety regulations. Prepare and update the store tracking report on a weekly basis to reflect the progress of store delivery and roll out and flag any risk to all concerned and initiate remedial action to ensure execution of project as scheduled. Coordinate with QS to produce the CAPEX for all new projects, in a timely manner and submit to Business for review and approval. Provide accurate information to QS on percentage of jobs completed and on any variations to ensure that no over payments are made to the sub-contractors / suppliers. Carry out final inspection, prepare a snag list along with Operations and ensure snags are attended to or rectified by the relevant subcontractors within the time allowed by the agreement. Ensure all assets are tagged as per agreed processes. Ensure all learning’s are captured post completion of each project. Manage defect liability as per agreed process. Create, review, and communicate customer order pick lists to warehouse operations, ensuring materials are picked accurately and in accordance with customer delivery requirements. Coordinate with warehouse personnel to address picking issues, shortages, or discrepancies that may impact shipment schedules. Serve as the primary point of contact between customers, Sales, Operations, Logistics, Inventory Planning and other internal stakeholders regarding order status, delivery commitments, and order-related inquiries. Review customer purchase orders for completeness and accuracy, ensuring alignment with pricing, delivery requirements, and commercial agreements. Process and maintain customer orders, order amendments, cancellations, and delivery schedule changes in accordance with company procedures. Monitor order progress and proactively identify risks that could impact on-time delivery, escalating issues to the appropriate stakeholders for resolution. Provide customers and internal teams with regular updates on order status, delivery schedules, back-orders, and potential delays. Track and follow up on action items to ensure timely closure and support on-time delivery commitments. Coordinate with Inventory Planning, Operations, Logistics, Intercompany teams to support timely order fulfillment and customer satisfaction. Track customer open orders and maintain an accurate customer order book to provide visibility of demand, delivery commitments, and outstanding actions. Support order prioritization activities by communicating customer requirements and business impacts to relevant stakeholders. Ensure all order-related documentation is complete, accurate, and maintained in accordance with company policies and audit requirements. Assist with shipment coordination and delivery tracking, ensuring customers receive timely updates on shipment status and expected delivery dates. Investigate and resolve customer order-related issues, including delivery discrepancies, documentation concerns, and customer inquiries. Support continuous improvement initiatives by identifying opportunities to streamline order management processes and improve customer experience. Generate and maintain reports on order intake, backlog, delivery performance, and customer service metrics. Collaborate with cross-functional teams to improve order visibility, delivery reliability, and customer satisfaction. Review of Terms and Conditions related to shipping/logistics during tender/RFQ stage. Perform other duties as assigned by Caterpillar management from time to time.<br><br>What Will Put You Ahead<br><br>Diploma or bachelor’s degree in Business Administration, Engineering, Supply Chain, or related field. Minimum 3 years of experience in order management, project coordination, customer service, or production support roles (preferably in manufacturing or oil & gas environment). Experience working with Infor Syte Line (ERP system) for order entry and tracking. Strong understanding of production workflows, documentation processes, and cross-functional coordination. Exposure to order management and/or logistics procedures and local laws.
