About the Role We are a technology company operating at the intersection of Core Network & Roaming, Private 5G, Cybersecurity, and Artificial Intelligence, working with telecom operators, enterprises, and government entities. The CEO requires a highly capable, sharp, and discreet Senior Executive Operation Assistant who can function as the CEO's eyes and ears across the organization someone who brings order, visibility, and accountability to the CEO's daily operating rhythm and to cross-functional execution across Sales, Delivery/Projects, Presales, Operations, and Support functions.<br>This is not a conventional secretarial or calendar-management role. The ideal candidate is a proactive, detail-obsessed operator who can track commitments across the business, chase accountability without needing to be told twice, synthesize information from multiple teams, and give the CEO a clear, real-time picture of what's moving, what's stuck, and what's at risk — at any given moment.<br>Given the nature of this role and the sensitive/strategic information the candidate will be exposed to, relevant prior experience in a similar capacity is non-negotiable.<br><br>KEY RESPONSIBILITIES<br>1. Actionable & Task Management- Maintain a live, structured tracker of all pending actionable assigned by the CEO to internal teams, department heads, clients, or vendors.- Proactively follow up with respective owners on due/overdue items and escalate delays to the CEO with context, not just status.- Maintain a tracker of all pending presentations, reports, MIS, and analyses expected by the CEO from various functions, along with due dates and status.- Ensure nothing "falls off the radar" — the CEO should never have to ask "whatever happened to X?"<br>2. Deadline & Project Delivery Tracking- Maintain a master tracker of all committed delivery timelines by project/functional leads across ongoing projects (Core Network/Roaming deployments, Private 5G rollouts, Cybersecurity engagements, AI/product initiatives), including internal milestones and client-committed dates.- Track project stage-wise progress (design, procurement, implementation, testing, go-live, support) and flag slippages proactively.- Coordinate with project/delivery heads to obtain regular status updates and consolidate them into CEO-ready dashboards/reports.- Maintain a repository of RAID logs (Risks, Assumptions, Issues, Dependencies) as inputs for CEO review, working with respective project owners.<br>3. Meetings & Documentation- Schedule, prioritize, and manage the CEO's calendar with sound judgment on urgency and importance.- Attend key internal/external meetings (as directed) to take structured minutes, capture action items with clear ownership and timelines, and circulate/track them to closure.- Maintain a searchable repository of meeting records, decisions taken, and historical context for ongoing matters/clients/projects.- Prepare briefing notes for the CEO ahead of important meetings (client, investor, partner, internal reviews).<br>4. Client & Vendor Coordination- Track and follow up on pending commitments, proposals, contracts, POs, invoices, and escalations with clients and vendors on behalf of the CEO.- Coordinate scheduling and logistics for client/vendor meetings, visits, and reviews.- Maintain a tracker of key account/vendor relationship touchpoints and outstanding issues requiring CEO attention or intervention.<br>5. Internal Coordination- Act as the coordination hub between the CEO's office and functional heads (Sales, Presales, Delivery, Operations, Finance, HR, Cybersecurity practice, AI practice) to ensure timely flow of information in both directions.- Chase internal teams for inputs, data, and deliverables required by the CEO, ensuring quality and timeliness before items reach the CEO's desk.- Coordinate logistics and content for internal reviews (weekly/monthly business reviews, board meeting prep support, town halls, offsites).<br>6. Sales & Operations Reporting- Consolidate periodic sales updates — pipeline status, order booking, revenue tracking, key deal status — from the Sales/Presales teams into a CEO-ready format.- Consolidate operational updates (delivery status, resource utilization, escalations, SLA/compliance items) from Operations/Delivery teams.- Maintain dashboards/MIS that give the CEO a single-glance view of business health across verticals. 7. Confidentiality, Judgment & Ad-hoc Support- Handle sensitive business, financial, HR, and strategic information with absolute discretion and confidentiality.- Exercise sound judgment on prioritization, escalation, and information-sharing — knowing what needs the CEO's immediate attention versus what can be handled independently or delegated.- Support the CEO on ad-hoc assignments that may include: research inputs, presentation/report preparation, travel and event coordination, correspondence drafting, and special projects as they arise.- Be available to flex beyond standard responsibilities as business needs evolve — this role's scope will grow with the trust placed in the candidate.<br><br>REQUIRED SKILLS & COMPETENCIES<br>-Exceptional organizational and follow-up discipline — the single most important trait for this role.- Strong command of MS Excel/Google Sheets (trackers, dashboards, pivot tables) and Power Point for CEO-ready reporting.- Sharp written and verbal communication — able to draft crisp emails, minutes, and briefing notes without handholding.- Ability to interact confidently and professionally with senior leadership, clients, and vendors.- High situational awareness — able to read priorities, sense urgency, and connect dots across departments without explicit instruction.- Comfortable working in a fast-paced, technology/telecom environment with cross-functional, technically complex projects.- Assertive enough to chase deadlines and escalate to senior stakeholders professionally and diplomatically.- Absolute integrity and discretion with confidential information.- Working familiarity with project tracking tools (MS Project, Jira, Asana, Trello, Monday.com, or similar) is an advantage.<br><br>Qualifications & Experience<br>- Graduate/Postgraduate in any discipline; MBA or equivalent is preferred but not mandatory if experience is strong.- 6 to10 years of demonstrated experience as an Executive Assistant or Business/Project Coordinator to a CEO/CXO/senior leader, ideally within Telecom, Networking, IT/Technology, Cybersecurity, or Engineering/Infrastructure companies.- Proven track record of managing trackers, MIS, and follow-ups across multiple stakeholders simultaneously.- Prior exposure to project delivery environments (even if not technical) will be a strong advantage, given the nature of the business.- Experience directly supporting a founder/CEO/MD in a growing or mid-sized organization is highly preferred over large-corporate generalist EA experience.<br><br>Reporting & Working Relationship<br>- Direct reporting to the CEO.- Dotted-line working relationships with all functional heads (Sales, Delivery, Operations, Cybersecurity, AI, Finance, HR) for information flow and coordination.- This role carries an implicit mandate from the CEO's office — cooperation from functional teams is expected and will be reinforced by leadership.<br><br>What Success Looks Like in This Role<br>- The CEO has real-time visibility into every open commitment, deadline, and follow-up without having to chase anyone personally.- Nothing significant is missed, delayed, or forgotten due to lack of tracking.- Cross-functional teams respond to the CEO's office promptly because the coordination channel is trusted and effective.- The CEO can delegate an increasing share of coordination, tracking, and follow-up work to this role over time, freeing up bandwidth for strategic priorities.
