The Opportunity<br><br>The Library and Learning Commons Department seeks an incumbent for the position of Digital Archives Specialist who works under the supervision of the University Archivist to plan, design, classify, secure, store, maintain, use, retain, dispose, and preserve born digital and digitized records. supports the long-term preservation of digital assets and ensures that archival collections are discoverable, accessible, and usable by researchers, staff, students, and the public.<br><br>The Digital Archives Specialist also manages the university's digital archives and coordinates their ingestion into the Open Archival Information System (OAIS) compliant trusted digital repository infrastructure.<br><br>The Responsibilities<br><br>Core Functional Accountabilities<br><br> Implements ISO/TS 16175, ISO 15489, ISO 14721, ISO 23081, ISO/TR 15801, and ISO 25964 to manage university digital records Works closely with the university IT department to develop an integrated electronic records management system for emails, data, web content, and electronic records Works with university departments to create an enterprise functional digital file classification system Creates and automates retention and disposition schedules for the integrated electronic records management system Appraises and selects university vital and historical records Collaborates with the National Library and Archives (NLA) to implement national archival legislation, rules, and regulations on the management of digital records Develops electronic records management policies, guidelines, forms, and procedures manuals per the NLA Act and other international archives and records management best practice standards. Works closely with all university departments’ management to establish and implement international archival best practices and standards for the acquisition, selection, accession, preservation, destruction, and access to physical and digital records. <li><span>Conduct a monthly inventory check of essential maintenance spare parts, ensuring minimum stock levels are maintained to support timely corrective and preventive maintenance activities.</span></li>
<li><span>Monitor and record monthly Freon/refrigerant consumption in accordance with approved LPOs, ensuring usage is properly documented, reviewed, and maintained for operational and audit purposes.</span></li>
<li><span>Provide technical coordination and support for CAPEX and Culinary projects, ensuring proper planning, execution, coordination with stakeholders and contractors, and compliance with approved specifications, safety standards, and project requirements.</span></li>
<li><span>Conduct regular team meetings and briefings to understand operational needs, address concerns, communicate priorities, and ensure effective coordination and teamwork.</span></li>
<li><span>Ensure the safe and efficient operation of laundry boilers and associated equipment, with daily monitoring of boiler water quality parameters, accurate recording of readings, and verification to ensure compliance with required operating standards.</span></li>
<li><span>Ensure PPM schedules are followed and records maintained for kitchen hood suppression systems, SNG systems, and kitchen ventilation systems, ensuring all maintenance activities are completed safely and in accordance with manufacturer recommendations and property requirements.</span></li>
<li><span>Ensure all kitchen and laundry general maintenance requirements are addressed in a timely manner and maintain appropriate lighting and lux levels to support safe, efficient, and smooth operations.</span></li>

<li><span>Must have a Diploma / Degree in mechanical or electrical engineering with minimum five Years experience in large scale commercial kitchen, refrigeration, laundry equipment operations, repair and maintenance.</span></li>
<li><span>Strong diagnostic, troubleshooting, fault-finding, and rectification skills for electrical, mechanical, refrigeration, kitchen, and laundry equipment.</span></li>
<li><span>Sound knowledge and practical experience in Preventive Maintenance (PPM) and Reactive/Corrective Maintenance.</span></li>
<li><span>Ability to work effectively and make appropriate technical decisions under pressure and within operational deadlines.</span></li>
<li><span>Ability and willingness to work safely in restricted access, confined, or challenging work areas, as required.</span></li>
<li><span>Strong teamwork and communication skills, with a willingness to assist and support other team members and departments.</span></li>
<li><span>Ability to identify and promptly escalate technical, safety, and operational issues to the appropriate level of management.</span></li>
<li><span>Ability to train and guide maintenance staff on equipment operation, maintenance procedures, troubleshooting, and safe working practices.</span></li>
