Job Purpose:To provide comprehensive secretarial, administrative, and coordination support to the Technical Design team. The role is responsible for facilitating efficient departmental operations through effective document control, meeting coordination, communication management, action tracking, and day-to-day administrative support. Support procurement and administrative processes, including purchase requests, quotations, invoices, service requests, and vendor documentation, as required. Coordinate travel arrangements, meeting logistics, visitor arrangements, and other administrative requirements for the team when necessary. Maintain and update contact lists, stakeholder registers, distribution lists, and departmental records. Assist in coordinating access requests, onboarding requirements, and other administrative arrangements for team members, consultants, and external stakeholders. Monitor office supplies and coordinate general administrative and operational requirements. Handle confidential and sensitive information, including commercial, technical, and business-related documentation, with a high degree of professionalism, discretion, and integrity. Ensure compliance with company policies, procedures, information management requirements, and departmental standards. Support the team in maintaining accurate records and ensuring timely availability of information required for management and project activities.
