Job Title: Associate Fragrance Development Director, FFE<br><br>Location: Dubai, UAE<br><br>As an Associate Fragrance Development Director, you will drive mutual success by developing winning fragrances for Categories, for our clients’ brands. Develop your skills, mentor future leaders for a dynamic and rewarding career.<br><br>Your Key Responsibilities<br><br>Lead the full fragrance development cycle for complex fragrance projects of the assigned accounts in Local & regional customers – managing all aspects of the fragrance development project from brief to adoption and deliver winning fragrance themes that answer client and consumer needs, integrating innovative solutions that align with brand strategy. Collaborate and partner with Perfumers, Sales, Technical Development Teams, Marketing, Consumer Insights and Commercial teams to deliver beneficial solutions for our clients, co-creating fragrance strategies, sound boarding ideas and nurturing client relationships. Participate in Category strategy definition and execution (across functions: CMI, Technical Resources, CI, perfumers, sales) Maintain a vast and up to date awareness of scented products across assigned categories, to identify long-term olfactive trends and initiate proactive development aligned with market needs. Collaborate with team members to develop effective consumer insight plans to further enhance knowledge building. Promote positive team spirit by contributing to common objectives and sharing information. Help olfactive train clients and internal colleagues in other functions when needed. Creative & strategic thinker, with a growth mindset and curiosity to learn & adapt to change. Olfactive trained and proven track record of successful fragrance launches. Digital savviness, great communication, organization, and project management skills. <p><strong>Job Summary</strong></p><p>We are seeking an experienced <strong>Building & Facility In-Charge</strong> to take full responsibility for the day-to-day operation, maintenance, safety, compliance, and overall management of a <strong>company-owned building located in JAFZA</strong>.</p><br><p>The ideal candidate must have proven experience managing a <strong>complete standalone building or facility</strong>.</p><br><p>This is a <strong>direct, hands-on facility management role</strong>. The building and its facilities are <strong>owned and directly managed by the company</strong>, and the successful candidate will be responsible for overseeing the entire property, including all building systems, common areas, external areas, maintenance activities, contractors, utilities, security, housekeeping, permits, inspections, and regulatory compliance.</p><br><p><strong>Key Responsibilities</strong></p><p><strong>1. Complete Building & Facility Management</strong></p><ul><li><p>Take full responsibility for the daily operation and upkeep of the <strong>entire company-owned building and premises</strong>, including all floors, common areas, technical rooms, parking areas, external areas, and associated facilities.</p></li><li><p>Directly oversee the condition and operation of the property.</p></li><li><p>Conduct regular inspections of the entire building to identify maintenance, safety, operational, and housekeeping issues.</p></li><li><p>Ensure the building remains fully operational, safe, compliant, clean, and properly maintained at all times.</p></li><li><p>Take ownership of facility-related issues from identification through completion and resolution.</p></li></ul><p><strong>2. Direct / In-House Facility Management</strong></p><ul><li><p>Manage facility operations directly on behalf of the building owner/company.</p></li><li><p>Coordinate and supervise individual maintenance contractors, technicians, suppliers, and service providers as required.</p></li><li><p>Maintain direct control and oversight of all facility activities.</p></li><li><p>Evaluate maintenance requirements, obtain quotations, coordinate approvals, schedule works, supervise execution, and verify completion.</p></li><li><p>Monitor contractor performance, quality of work, safety compliance, and adherence to agreed timelines.</p></li><li><p>Maintain records of all maintenance works, service reports, warranties, contracts, and building assets.</p></li></ul><p><strong>4. JAFZA Compliance, Permits & Authority Coordination</strong></p><ul><li><p>Ensure the entire property complies with applicable <strong>JAFZA regulations, facility requirements, and operational procedures</strong>.</p></li><li><p>Handle and coordinate JAFZA permits and approvals required for:</p><ul><li><p>Maintenance and repair works</p></li><li><p>Contractor activities</p></li><li><p>Building modifications</p></li><li><p>Fit-out and alteration works</p></li><li><p>Access and work permits</p></li><li><p>Other facility-related activities</p></li></ul></li><li><p>Liaise directly with JAFZA departments regarding facility matters, inspections, permits, approvals, and compliance requirements.</p></li><li><p>Coordinate with relevant UAE authorities and service providers whenever required.</p></li><li><p>Maintain complete and updated records of permits, approvals, certificates, inspections, and renewals.</p></li></ul><p><strong>5. Health, Safety & Fire Compliance</strong></p><ul><li><p>Ensure full compliance with applicable HSE and fire/life-safety requirements across the entire building.</p></li><li><p>Oversee inspection, testing, and maintenance of:</p><ul><li><p>Fire alarm systems</p></li><li><p>Firefighting systems</p></li><li><p>Fire extinguishers and hose reels</p></li><li><p>Emergency lighting</p></li><li><p>Emergency exits and escape routes</p></li></ul></li><li><p>Coordinate statutory inspections, certifications, emergency drills, and corrective actions.</p></li><li><p>Identify safety hazards during regular building inspections and ensure immediate corrective measures.</p></li><li><p>Coordinate with Dubai Civil Defence and relevant authorities/service providers when required.</p></li></ul><p><strong>6. Utilities & Building Services</strong></p><ul><li><p>Monitor and manage electricity, water, air-conditioning, and other building utilities.</p></li><li><p>Review utility consumption and identify abnormal usage, leakage, wastage, or efficiency issues.</p></li><li><p>Coordinate directly with utility and service providers for faults, maintenance, upgrades, and service requirements.</p></li><li><p>Oversee housekeeping, waste management, pest control, landscaping, security, and other building support services.</p></li><li><p>Ensure all areas of the property are maintained according to company standards.</p></li></ul><p><strong>7. Security & Building Access</strong></p><ul><li><p>Oversee building security and access requirements in coordination with internal security personnel.</p></li><li><p>Manage contractor, visitor, delivery, and service-provider access in accordance with company and JAFZA procedures.</p></li><li><p>Ensure CCTV, access control, gates, barriers, and other security-related systems remain operational.</p></li><li><p>Coordinate immediate action regarding building security incidents or access-related concerns.</p></li></ul><p><strong>8. Documentation, Budget & Reporting</strong></p><ul><li><p>Maintain complete records for the entire building, including:</p><ul><li><p>Building assets and equipment</p></li><li><p>Preventive maintenance schedules</p></li><li><p>Maintenance and repair history</p></li><li><p>JAFZA permits and approvals</p></li><li><p>AMC and service contracts</p></li><li><p>Contractor and supplier records</p></li><li><p>Authority certificates and inspection reports</p></li><li><p>Utility records</p></li><li><p>Safety and incident reports</p></li></ul></li><li><p>Track expiry and renewal dates for contracts, permits, certificates, and statutory inspections.</p></li><li><p>Prepare regular reports covering building condition, maintenance status, pending issues, costs, compliance matters, and required improvements.</p></li><li><p>Assist management with annual maintenance budgets, quotations, cost comparisons, and facility improvement planning.</p></li></ul><p><strong>Desired Candidate Profile</strong></p><ul><li><p>Bachelor's degree or diploma in Business Administration, Facilities Management, Engineering, or a related field.</p></li><li><p>Proven experience in office administration and facilities management.</p></li><li><p>Experience managing commercial building operations is preferred.</p></li><li><p>Working knowledge of JAFZA permit processes and regulatory requirements.</p></li></ul><p><br></p><p><strong>Required Skills</strong></p><ul><li><p><strong>&nbsp;</strong></p><ul><li><p>Diploma or Bachelor’s degree in <strong>Facilities Management </strong>or related discipline.</p></li><li><p>Minimum <strong>5 years of relevant UAE experience in building and facility management</strong>.</p></li><li><p>Must have proven experience being responsible for the <strong>complete management of an entire standalone building or property</strong>, including its technical systems, common areas, external areas, utilities, maintenance, safety, and regulatory requirements.</p></li><li><p>Strong preference for candidates who have worked with a <strong>company that directly owns and manages its own building/facility</strong>, with hands-on responsibility for the complete property.</p></li><li><p>Previous experience managing a building or facility <strong>within JAFZA is highly preferred</strong>.</p></li><li><p>Good knowledge of <strong>JAFZA permits, facility procedures, contractor requirements, and authority coordination</strong>.</p></li><li><p>Strong working knowledge of HVAC, electrical, plumbing, firefighting, generators, pumps, and general building systems.</p></li><li><p>Experience directly managing maintenance contractors, AMCs, security, housekeeping, and other facility service providers.</p></li><li><p>Good understanding of UAE HSE and fire/life-safety requirements.</p></li></ul></li><li><p>Proficient in Microsoft Office applications (Word, Excel, Outlook, and PowerPoint), with advanced Microsoft Excel skills including Pivot Tables, VLOOKUP/XLOOKUP, formulas, data analysis, and reporting.</p></li></ul>
