Job Summary<br>The Materials Controller is responsible for planning, coordinating, and controlling materials-related activities to support construction projects across civil and oil & gas sectors. The role ensures timely availability of approved materials in line with project requirements, specifications, schedules, and quality standards. Working closely with Procurement, Engineering, QA/QC, Planning, and Project teams, the Materials Controller plays a key role in tracking material approvals, procurement status, deliveries, and documentation throughout the project lifecycle.<br>Key Responsibilities<br>Material Planning & Coordination<br><br>Review contract documents, specifications, and drawings to identify material requirements for projects.<br>Coordinate with Procurement, Engineering, Planning, QA/QC, and Project teams to align material procurement with project schedules.<br>Monitor material procurement status to ensure timely availability and avoid site delays.<br>Support planning of material delivery sequences in line with site requirements and construction progress.<br><br>Material Submittals & Approvals<br><br>Prepare, maintain, and update Material Approval Logs (e.g., E2 Log or equivalent).<br>Prepare and submit material submittals with complete technical documentation, certificates, and compliance data.<br>Coordinate with Consultants, Clients, and Engineers for review and approval of material submittals.<br>Track approval cycles, address comments, and follow up to obtain timely approvals.<br>Highlight risks related to delayed approvals or non-compliance and propose corrective actions.<br><br>Procurement & Vendor Coordination<br><br>Coordinate with Procurement to support timely award of material packages and purchase orders.<br>Liaise with vendors and suppliers to track manufacturing schedules, delivery timelines, and documentation.<br>Monitor vendor performance and report delays, deviations, or quality issues.<br>Coordinate material inspections, factory acceptance tests, and site deliveries as required.<br><br>Quality & Compliance Support<br><br>Ensure materials comply with approved specifications, standards, and contractual requirements.<br>Review test reports, certificates, and inspection records for compliance with project requirements.<br>Coordinate with QA/QC teams for inspections, testing, and release of materials.<br>Ensure materials delivered to site match approved submittals and inspection approvals.<br><br>Documentation & Reporting<br><br>Maintain accurate records of material submittals, approvals, deliveries, and inspections.<br>Prepare regular material status reports highlighting approvals, procurement progress, and risks.<br>Support preparation of material-related documentation for project close-out, including warranties and certificates.<br>Ensure proper filing and traceability of material documentation for audit and handover purposes.<br><br>Change & Risk Management<br><br>Support material-related variations, substitutions, and changes by preparing required technical documentation.<br>Assist in assessing time and cost impacts related to material changes or delays.<br>Proactively identify material-related risks and coordinate mitigation actions with project teams.<br><br>Required Qualifications & Competencies<br><br>Bachelor’s degree in Engineering, Architecture, or a related technical discipline.<br>5+ years of experience in materials control, procurement coordination, or materials management within construction projects (civil and/or oil & gas).<br>General understanding of construction materials, specifications, and quality requirements.<br>Experience in managing material submittals, approval logs, and procurement tracking.<br>Familiarity with international material standards and testing requirements (ASTM, BS, API, ISO, etc.).<br>Strong coordination, documentation, and follow-up skills.<br>Proficient in MS Office and ERP / procurement systems.<br>Ability to manage multiple priorities and work effectively in fast-paced project environments.<br>Good communication skills with internal teams, consultants, and vendors.
