<span>Black & Grey HR is seeking a Document Controller to join the client's offshore project delivery team on a permanent basis. You will be responsible for managing project and corporate documentation in line with company procedures, client requirements, and quality management standards. The role ensures document integrity, accurate version control, distribution tracking, and effective document management support throughout the project lifecycle.<br><br>This is a permanent office-based position in the UAE, supporting offshore, marine, and EPC project teams. You will work closely with project managers, engineering teams, quality teams, clients, and subcontractors to maintain efficient document control processes and ensure all project documentation is accurately recorded, approved, and archived.<br><br>KEY RESPONSIBILITIES<br><br>1. Document Management & Control<br><br>- Maintain the document management system (DMS/EDMS) ensuring accurate document numbering, revision control, and distribution records<br><br>- Receive, register, process, and issue incoming and outgoing project documentation including drawings, reports, calculations, specifications, and correspondence<br><br>- Maintain master document registers (MDR), drawing registers, and document tracking logs throughout project execution<br><br>- Ensure all documentation follows company and client procedures, naming conventions, metadata requirements, and document control standards<br><br>- Monitor document status and maintain accurate records of submissions, approvals, revisions, and final issued documents<br><br>2. Project Documentation Coordination<br><br>- Coordinate document transmittals between internal teams, clients, subcontractors, and project stakeholders<br><br>- Monitor document review and approval workflows, follow up on pending actions, and escalate overdue reviews to project management<br><br>- Support engineering, procurement, quality, and project teams with document control requirements throughout project execution<br><br>- Ensure timely distribution of approved documents and maintain traceability of document movement<br><br>- Assist project teams with document retrieval, reporting, and status updates when required<br><br>3. Project Close-Out & Quality Support<br><br>- Support project close-out activities including as-built documentation compilation, archive preparation, and final document handover<br><br>- Ensure project records are complete, properly indexed, and ready for client submission and audits<br><br>- Assist with internal and external audit preparation by maintaining complete document trails and retrieval readiness<br><br>- Provide guidance and support to project personnel on document control procedures and DMS usage<br><br>- Contribute to continuous improvement of document management processes and workflows<br><br></span><br><span>RequirementsEducation<br><br>- Diploma or degree in Business Administration, Information Management, Engineering Administration, or a related discipline from a recognised institution<br><br>- Additional training or certification in document control or information management is advantageous<br><br>Experience<br><br>- 3–6 years of experience in document control within offshore, marine, oil & gas, EPC, engineering, or construction project environments<br><br>- Proven experience managing technical documentation including drawings, reports, calculations, specifications, and project correspondence<br><br>- Experience working with document management systems (DMS/EDMS) such as Aconex, Documentum, SharePoint, or equivalent platforms<br><br>- Experience managing document registers, transmittals, revision control, and approval workflows<br><br>- Experience supporting project close-out documentation, as-built records, and client handover requirements<br><br>- ADNOC project exposure or experience supporting ADNOC-approved projects is a strong advantage<br><br>Skills and Competencies<br><br>- Strong attention to detail with excellent document tracking and record management skills<br><br>- Good understanding of document control processes within engineering and project environments<br><br>- Ability to manage multiple documentation workflows and priorities in a fast-paced environment<br><br>- Strong coordination and communication skills with project teams, clients, and subcontractors<br><br>- Proficiency in MS Office applications and document management systems<br><br>CERTIFICATIONS REQUIRED (Please attach the below certificates)<br><br>- Document Control Professional Certification — advantageous<br><br>- ISO 9001 Quality Management System (QMS) awareness — preferred<br><br>- Additional project management, quality, or information management certifications advantageous<br><br></span><br><span>Benefits- Permanent employment with a growing offshore engineering organization<br><br>- Opportunity to support major ADNOC offshore projects and international project operations<br><br>- Exposure to structured engineering document management systems and complex project environments<br><br>- Opportunity to develop expertise across offshore, marine, and EPC project documentation processes<br><br>- Long-term career growth and progression within a stable organization<br><br>HOW TO APPLY<br><br>Please include in your application:<br><br>- Current CV (PDF preferred)<br><br>- Relevant document control certifications (if available)<br><br>- Details of EDMS/DMS platforms handled<br><br>- Availability / earliest start date<br><br>- Shortlisted candidates will be contacted within 5 working days of application.<br><br></span><br> </div>
