Job Description<br><br>About Wynn Al Marjan Island:<br><br>Wynn Al Marjan Island will be the first integrated resort in the UAE. Set to open in 2027, the resort will be located 50 miles from Dubai International Airport in the emirate of Ras Al Khaimah. The resort will offer 1,530 rooms and suites, 22 restaurants, lounges, and bars, a theater, and a beach club. It will feature multiple swimming and wading pools, a five-star spa, a salon, a shopping promenade, and a celebrations and events center.<br><br>About The Position<br><br>Wynn Al Marjan Island is currently seeking an Assistant Manager - Office Services and Mail Room to join the resort’s Office Services and Mail Room team.<br><br>Responsibilities<br><br>The primary duties and responsibilities of this role are:<br><br> Oversee the daily receipt, sorting, logging and distribution of all incoming mail, parcels and courier deliveries, ensuring each item reaches the correct department within the agreed service standard. Manages outgoing mail and courier dispatch, selecting the appropriate service, verifying addresses and documentation, and controlling postage and shipping costs. Maintains an accurate tracking record for registered, confidential, high value and signature required items from receipt through to acknowledged delivery. Works with Security on mail screening and handling procedures, and ensures the team knows how to identify, isolate and report a suspicious item. Controls the office supplies and stationery store, setting par levels, running stock counts, raising purchase requisitions and preventing both stock outs and overstocking. Manages central print, copy and scanning services, including job scheduling, quality control, consumables and the handling of confidential print work. Coordinates the maintenance, servicing and replacement of office equipment such as printers, copiers, franking machines, shredders and mail room plant. Liaises with courier companies, postal authorities, stationery suppliers and equipment vendors, monitoring service levels and raising performance issues with the Manager. Checks supplier invoices against deliveries and agreed rates, resolves discrepancies and submits approved invoices to Finance for payment. Supports the Manager in preparing and monitoring the departmental budget, tracking consumption of supplies, postage and courier spend against forecast. Administers central records storage and archiving, ensuring files are indexed, retrievable and retained or destroyed in line with the company retention schedule. Coordinates office moves, workstation set ups, furniture requests and small office projects with Engineering, IT and the departments concerned. Supervises, schedules and develops the office services and mail room team, setting clear standards, conducting on the job training and addressing performance in partnership with the Manager. Maintains and updates the department's standard operating procedures, and ensures the team follows them consistently across all shifts. Upholds confidentiality, data protection and chain of custody requirements for all correspondence and documents handled by the department. Ensures the mail room and storage areas remain clean, secure, organized and compliant with health, safety and fire requirements. Produces service, volume and cost reports for the Manager, and recommends improvements that reduce spending or shorten turnaround times. Deputizes for the Manager during absence and represents the department in interdepartmental meetings as required. Performs other reasonable duties appropriate to the position as assigned by management. <br><br>About You<br><br>The ideal candidate for this position will have the following experience and qualifications:<br><br> Diploma or bachelor's degree in business administration, logistics, facilities management, hospitality management or a related field. Minimum four years of experience in office services, mail room, administration, procurement support or facilities coordination, including at least two years in a supervisory role. Luxury hotels, integrated resort, corporate head office or large campus experience is preferred; pre-opening experience is an advantage. Working knowledge of mail and courier operations, customs and shipping documentation, stock control and vendor coordination. Confident user of Microsoft Excel, Word and Outlook, with experience of purchasing, inventory or tracking systems. Fluent written and spoken English; Arabic or an additional language relevant to the resort's workforce is an advantage. Strong organizational skills and attention to detail, with the ability to run several service lines at once without losing track of individual items. challenging the status quo by identifying best practices across the industry and opportunities to increase Charlotte Tilbury share of voice and ranking in existing retailers, with a strong lens on driving the best omnichannel customer experience.<br> Work with local partners (existing & new) to identify partnership opportunities to drive brand awareness and customer acquisition.<br> Shape and deliver new launches and, where applicable, new market launches in close collaboration with PR, VM, Commercial tailored to market needs on time, on target and within budget.<br> For new Market/retailer launches ensure a robust sustain plan is in place to accelerate growth, maintaining ranking & brand awareness.<br> Focus on continuously establishing and improving clear processes within the ME & Africa’s team to ensure 'world-class’ delivery is achieved across the region.<br> Drive the planning, approval & follow-up of key projects to gain alignment from all key internal & external stakeholders.<br> Drive the maintenance of the marketing calendar, feeding back to Global Marketing on regional nuances and opportunities.<br> Co-own budget management: Demonstrate high attention to detail when budget planning and phasing in partnership with the HOM.<br> Who you will work with You will sit within our Middle East function in Dubai, within our highly talented Marketing team, reporting directly to our Head of Marketing.<br> Work closely with the wider ME Marketing team, Global Marketing teams and wider ME teams.<br> You will lead, coach and empower an exceptional Marketing team and continue to lead them to success.<br> About you You will have extensive marketing experience gained within beauty, premium retail, or luxury brands.<br> Experienced in devising and implementing strategic plans with creative flair.<br> Very strong experience & knowledge in retail marketing with excellent digital & online marketing skills.<br> Experience of budget management with a structured and organised approach.<br> Proven people leadership, including coaching, performance management and capability development.<br> You are highly analytical, results driven with a consumer centric and commercial mindset!<br> Credible and persuasive negotiator and communicator who can influence at all levels and represent the brand externally.<br> Strong retailer relationships and cross-functional partnership approach Strategic and creative thinker with high standards of execution, attention to detail, proactive go getter with the ability to prioritise in a fast-moving environment.<br> Proactive, solutions-focused and comfortable leading through ambiguity and change;
