Administrator - Property & Asset Management<br>The Administrator – Property & Asset Management supports the smooth day-to-day administration of assigned properties by ensuring documentation, records, and routine processes are handled accurately and on time. The role exists to provide reliable operational support, so residents, owners, and internal teams experience consistent and well-organized service delivery.<br>Key Elements / Tasks<br>Maintain a thorough knowledge of the assigned community, building ordevelopment including the standard layouts, unit mix, amenities and pricing structure.<br>Achieve the annual targeted revenue from the residential property portfolioupdating the Accounts Receivables Report weekly for Owner’s books and to determine company's revenue.<br>Receive the offer letter and the Letter of Undertaking (not to sub-lease and abide by the community guidelines) from Leasing following completion of due diligence process on all new tenants; review their supporting mandatory documents to ensure they have a minimum of one month’s validity.<br>Handle the issuance of new tenancy contracts, short-term extensions, transfer of Lease, renewals and termination of contracts (break-lease) for an assignedresidential portfolio and submit to the supervisor for verification.<br>Ensure the property/unit is ready and available for occupation before any newlease is issued, by reviewing the Check-Out Inspection Report and validating with the Property Manager to ensure the remedial works have been completed satisfactorily.<br>Obtain preliminary approval from respective Property Manager and Owner/ Landlord if applicable before preparation of the lease.<br>Attest the tenancy contract in the Gov system (Tawtheeq/Ejari/Other) via the system link from ERP System and collect service fees from tenants.<br>Ensure there are no delays in issuing tenancy contracts due to delays in payment or non-receipt of administration charges and that 100% of collection of rental income, security deposits, and administration charges is undertaken within the defined timeframe.<br>Experience & Skills Minimum 1–2 years’ experience in administration, customer service, or property-related roles. Diploma or bachelor’s degree in business administration or a related field. Strong organisational skills with attention to detail. Clear written and verbal communication skills in English. Job Description<br><br>Follow-up all insurance credit sales, management credit sales and facilitating the requirements of the customers. Ensure contracts compliance with its terms and follow-up commitment of the pharmacists’ conditions of dispensing.<br><br>Accountabilities<br><br>Cross-Functional Alignment:<br><br> Ensure that all the received invoices by the pharmacies was dispensed upon the criteria of the insurance company through classifying, reviewing, modifying and approving accordingly (e.g. unconfirmed receivable report, compliance report, etc...) in order to ensure validity of all invoices and eliminating discrepancy. Ensure that all the submitted claims by the team has been successfully accomplished upon the customer’s criteria in timely manner through reviewing and following-up the contract’s terms and conditions with the team to keep them posted. Monitor the customer’s outstanding balance report (Aging) by following-up with treasury in periodically basis to review unpaid customer invoices and participating with the stakeholders to solve the aging issues. Ensure that all the collection entries on the system are upload, adjusted and attached with support documents in order to ensure smooth operation in the assigned duties and the efficiency of the workflow by review reports submitted by team ( receipts report , debt memos, credit memos and solving all pending amounts in bank reconciliation). Ensure that all the balances are matching with our customer booking by reviewing, confirming and adjusting the reports in monthly and quarterly basis (e.g. Right-off, Rejection and Bad debts and customers quarterly confirmation) to ensure accuracy and eliminating discrepancy. Prepare, review, negotiate, and finalize interim payment applications, payment certifications, and final accounts. Lead subcontract procurement, commercial evaluations, negotiations, and subcontract administration. Identify commercial risks and implement mitigation strategies to protect project profitability. Prepare commercial reports and forecasts for senior management. Provide commercial guidance to project teams throughout project execution. Lead and mentor Quantity Surveyors and commercial team members.<br>Requirements Bachelor's degree in Quantity Surveying, Civil Engineering, Construction Management, or a related discipline. Minimum 15 years of commercial and contracts management experience within the construction industry, infrastructure or landscaping industries Previous UAE/GCC experience is essential. Experience working for a main contractor or engineering consultancy. Strong Quantity Surveying background with progression into Commercial Management. Extensive experience administering FIDIC contracts. Implementing strategies to expand accounts, increase retention, solve issues and drive satisfaction for customers. Offering product solutions to customers’ pain points and finding opportunities to expand the business by maintaining healthy customer relationships. Serving as trusted and strategic advisor to customers in order to accurately forecast their needs and provide the best solutions and/or suggest product features. Demonstrated experience and a passion for Fin Tech, has a good understanding of accounting software and expense management systems. Experience using customer success software, CRM software, Microsoft Office and Google Workspace suites. A bachelor’s or postgraduate degree in business or related fields would be a plus. Relationship management skills and a can-do attitude when presented with challenges.
