Key Responsibilities• Receive, review, organize, and process incoming retail media bookings with a high level of accuracy.• Verify partner and supplier information and follow up on missing or incomplete details.• Track and match booking orders with relevant media campaigns, activations, and investments.• Create, issue, and maintain accurate Insertion Orders (IOs) based on approved bookings.• Ensure media booking documentation is complete, accurate, and properly maintained.• Coordinate with Finance teams to ensure invoices are created accurately and on schedule.• Collect invoices from Finance and share approved documentation with relevant partners and suppliers.• Review invoices, booking orders, campaign costs, and investment details for accuracy and completeness.• Monitor and resolve discrepancies between planned media spend, booked investment, invoiced amounts, and actual campaign activity.• Follow up with suppliers and partners regarding missing invoices, billing issues, payment status, and discrepancies.• Maintain billing trackers, campaign documentation, financial records, and supporting evidence.• Collect screenshots, campaign reports, and proof of execution for completed media activations.• Serve as a key point of contact for internal and external billing and invoicing enquiries.• Coordinate with Sales, Media, Account Management, Finance, and external partners to resolve operational issues.• Prepare monthly reports covering invoice status, missing invoices, submitted invoices, collections, and outstanding items.• Support month-end closing activities by ensuring invoices, reconciliations, and campaign documentation are complete and accurate.• Follow up on outstanding supplier payments and support improvements in collection rates.• Maintain accurate records within CRM, billing, and business systems such as Salesforce.• Support campaign implementation by ensuring teams have the required booking, billing, and operational information.• Identify opportunities to streamline billing workflows, improve documentation, and increase operational efficiency.• Support the team in implementing AI-enabled workflows and automation to improve daily operational processes. (Linked In)• Proven experience with invoice management, financial reconciliation, billing processes, or campaign operations.• Understanding of retail media, digital advertising, media investments, or campaign activation is an advantage.• Strong proficiency in Microsoft Excel and Google Sheets, including formulas, Pivot Tables, XLOOKUP/VLOOKUP, and data analysis.
