<p><strong>ROLE PURPOSE</strong>
The Sales Coordinator supports the sales organisation by owning the administrative backbone of the sales cycle — responding to customer enquiries, issuing quotations, supporting invoicing, and ensuring smooth communication between customers and internal departments. The role is the connective tissue between the field sales team, the warehouse and the customer.
By organising schedules, tracking orders and maintaining accurate master and customer data, the role streamlines the sales process and protects the accuracy on which pricing, availability and reporting depend. Reliable coordination here directly increases the time sales executives can spend selling and reduces the errors that erode customer confidence.
</p><br><p>▶ Customer Enquiry & Quotation Support
– Respond to customer enquiries received across all channels by promptly issuing accurate written quotations.
– Answer telephonic enquiries and queries on products, availability and prices.
– Act as a dependable first point of contact for customers when the responsible sales executive is in the field.
– Follow up on issued quotations and route active opportunities to the appropriate sales executive for closure.
▶ Order Processing & Delivery Coordination
– Coordinate with the delivery team on customer orders to ensure committed dates are met.
– Collate data for preparing the order sheet and assist in preparing orders accurately.
– Prepare purchase orders for both local and overseas procurement in line with approval requirements.
– Track order status from receipt through dispatch and proactively flag delays to the customer and sales executive.
▶ Master Data & Records Management
– Maintain the material master and supporting databases so that customer queries can be answered accurately and quickly.
– Maintain the Materials Master by regularly updating new products, prices and product segments.
– Maintain the computerised customer database, ensuring contact, credit and trade details remain current.
– File and archive documents both electronically and in hard copy in line with company retention practice.
▶ Reporting & Sales Team Support
– Generate daily reports covering sales, inventory, service centre sales and dealer sales.
– Assist Sales Executives through the preparation of reports and journals.
– Provide executive support to the Sales Manager and Branch Manager on scheduling, correspondence and follow-up.
– Undertake other duties as deemed necessary by the line manager or management for the smooth functioning of operations.
</p><p><strong>Desired Candidate Profile</strong></p><p>▶<strong> Education</strong>
– Graduate from any stream.
– A qualification in business administration, commerce or supply chain is an advantage.
▶<strong> Certifications</strong>
– Training in ERP/SAP sales and distribution modules is desirable.
– Advanced MS Excel certification is an advantage.
<strong>▶ Experience</strong>
– Minimum 2 years’ experience in a similar sales coordination or sales support role.
– Exposure to a distribution, automotive or fast-moving trading environment is preferred.
– Experience maintaining material master and customer master data is an advantage.
<strong>▶ Skills & Attributes</strong>
– MS Excel at intermediate level as a minimum, including reporting and data handling.
– Good communication skills, written and verbal.
– Strong attention to detail and comfort working to daily deadlines.
– Languages: English and Hindi.
