Together!</p><br><br>Job Description<br><p>The Junior Payroll Administrator is responsible for the end-to-end administration, control, verification, and accounting of payroll activities for Boskalis entities in the UAE and associated project operations. The role serves as the key coordinator between HR, Project HR support, Workday, Ramco Payroll Services, Accounts Payable, Management, and employees to ensure timely, accurate, and compliant payroll processing.</p><br><p>Act as the custodian of payroll data integrity, payroll accounting, employee settlements and payroll-related compliance requirements. You will make your mark by ensuring that the payroll of our Abu Dhabi office and other Boskalis companies is processed timely and correctly.</p><br><p>Together with the Payroll Administrator, you will be responsible for the payroll of approx.. 400 colleagues, but that will increase in the future. You will also be responsible for the timely processing of payroll (regular and adhoc), maintenance of payroll records, - updating the monthly payroll journal entries in the accounting system (INFOR-LN) post reconciliation of ledgers provided by RAMCO and providing settlement calculation to the employees on time.</p><br><p><strong>As a Junior Payroll Administrator, you will work closely with and assist the Payroll Administrator in carrying out the following responsibilities:</strong></p><br><p><strong>Payroll Processing & Administration</strong></p><br><ul><li>Coordinate and administer the monthly payroll cycle, ensuring timely and accurate payroll processing.</li><li>Review and validate payroll master data from Workday, including new hires, salary changes, promotions, transfers, terminations, allowances, and deductions.</li><li>Review payroll calculations prepared by the external payroll provider and ensure compliance with payroll calendars and corporate deadlines.</li><li>Generate and distribute payslips and payroll-related communications through Workday.</li></ul><p><strong>Time & Attendance Management </strong></p><br><ul><li>Monitor and review employee timesheets to ensure completeness, accuracy, and timely approval.</li><li>Verify payroll-related inputs including hardship allowances, leave accruals, and attendance records.</li><li>Liaise with Project HR to resolve discrepancies and process payroll adjustments.</li></ul><p><strong>Payroll Controls & Reconciliation</strong></p><br><ul><li>Reconcile payroll outputs against Workday records and approved payroll inputs.</li><li>Analyze payroll variances and validate payroll registers, payment files, and supporting documentation.</li><li>Maintain accurate payroll records and ensure audit readiness at all times.</li></ul><p><strong>Payroll Accounting</strong></p><br><ul><li>Prepare and post payroll-related journal entries in Infor LN.</li><li>Process payroll accruals, reversals, and employee benefit provisions.</li><li>Perform payroll balance sheet reconciliations and support month-end and year-end closing activities.</li></ul><p><strong>Employee Settlements</strong></p><br><ul><li>Calculate and verify full and final settlements, leave encashment, end-of-service benefits, and employee recoveries.</li><li>Coordinate settlement payments with HR and Cash & Bank teams.</li><li>Ensure compliance with company policies and applicable labor regulations.</li></ul><p><strong>Stakeholder Management</strong></p><br><ul><li>Act as a key point of contact for payroll-related matters between HR, Project HR, Workday teams, payroll service providers, Finance, employees, and management.</li><li>Resolve payroll queries and discrepancies and support payroll reporting requirements.</li><li>Assist with payroll-related bank and payment investigations as required.</li></ul><p><strong>Compliance & Continuous Improvement</strong></p><br><ul><li>Ensure compliance with UAE Labour Law, company policies, and payroll governance requirements.</li><li>Support internal and external audits and maintain payroll procedures and process documentation.</li><li>Identify opportunities to enhance payroll controls, processes, and system automation.</li></ul><p><strong>Your qualities & qualifications:</strong><br>

Perform other reasonable job duties as requested by Supervisors.<br>SCOPE / BUSINESS CONTEXT <br>A Full Time position based at Al Maha Desert Resort and Spa, The Luxury Collection.<br>Number of Direct Reports – 5-10 <br>Titles of Direct Reports – DCDP, Commis<br>CANDIDATE PROFILE<br>Experience:<br>5 Years<br>Skills and Knowledge <br>N/A<br>Education or Certification <br>N/A<br>Ensure the quality of the food items and notify manager if a product does not meet specifications.<br>Communicate any assistance needed during busy periods to the Chef to ensure optimum service to guests.<br>Monitor the quantity of food that is prepared and the portions that are served in to control food waste and ensure that good food is not thrown away.<br>Check and ensure the correctness of the temperature of appliances and food using thermostats and thermometers, including monitoring freezer systems, such as fans, drains, and doors, for proper operation, and report issues or problems to facility management.<br>Operate ovens, stoves, grills, microwaves, and fryers to prepare foods.<br>Report maintenance issues immediately to appropriate personnel (i.e., management or maintenance).<br>Inform Chef of any excess food items that can be used in daily specials or elsewhere.<br>Maintain food logs for all food products (e.g., production charts).<br>SPECIFIC DUTIES <br>The following are specific responsibilities and contributions critical to the successful performance of the position:<br>General Kitchen<br>Sanitation and Maintenance<br>Wash and disinfect kitchen area including tables, tools, knives, and equipment to ensure sanitary conditions and meet the departmental standards, including using sanitizers required by health department.<br>Set-up and break down work station with required mien place, tools, equipment and supplies, ensuring items are to established specs, ensuring adequate fill of containers, storing items appropriately, and cleaning station as appropriate.<br>Follow and ensure compliance with sanitation and cleaning procedures and pest control guidelines, reporting pest control issues to appropriate personnel.<br>Food Safety<br>Follow appropriate personal hygiene procedures to ensure food served to guests is safe for consumption, including disinfecting hands prior to handling food and wearing a hat/hairnet and proper footwear.<br>Follow and ensure compliance with food safety and handling policies and procedures, such as product rotation, First In-First Out (FIFO); dating, labeling, cleaning, and organizing coolers/freezers/storage areas; and Cold Chain compliance, across all food-related departments and areas.<br>Prepare all potentially hazardous foods at the correct temperature according to the HACCP guidelines.<br>Maintain kitchen logs for food safety program compliance (e.g., A1, A2, A3 etc.).<br>Maintain up-to-date knowledge of company Food Safety Programs within assigned area of responsibility, as well as Dubai Municipality standards.<br>Follow guidelines and checklists related to PIC (Person in charge)<br>Support initiatives related to food safety. <br>Report any guest complaints or other issues related to food safety to the culinary management.<br>Stocking/Receiving<br>Monitor stock of kitchen supplies and food to identify needed items and ensure neat and orderly storage, and communicate potential product shortages, or price changes, to supervisor/manager.<br>Kitchen Tools & Equipment<br>Use kitchen tools safely and appropriately, including using appropriate tools to open cartons, boxes, and cans; Visitor and client experience shall be professional, warm and genuine<br>• Ensure all meeting rooms are kept clean, tidy are ready for use – ensure highest level of cleaning standards. Pre- checks to be conducted before every meeting including equipment and AV/ VC checks<br>• Set up and reset of internal and external meeting rooms, training rooms or conference rooms. Manage rooms to be set up appropriately according to individual booking and equipment requests. Rooms should be reset as appropriate in line with daily booking schedules<br>• Issue Resolution- resolve simple AV/ VC, collaboration tools or other meeting and conference room related equipment issues</p><br><p>• Support and manage the meeting room booking system, which includes booking all forward and same day reservations, cancellations and / or amendments to bookings as per client requests (site depending) ensuring frequent communication with end user on their booking<br>• Manage catering requests, AV or VC, room equipment, any special requirements etc… liaise with FM team/ catering/ security/ any other vendors as appropriate to ensure all requests are fulfilled accordingly<br>• Ensure meeting room booking system is up to date- details for rooms are correct, assist with any booking inquiries and liaise with supporting teams if necessary<br>• Manage meeting room inventory checks<br>• All meeting rooms consumables, including F&B, should be refilled and reset after each meeting where appropriate<br>• Obtain all external attendee names of visitors and prepare a daily visitor arrival list for the next working day<br>• Encourage and nudge appropriate booking behavior and provide utilization reporting including block booking, no shows etc…<br>• Conduct regular visual checks on meeting room usage (vacant or in use) to support ad hoc analysis of bookings vs utilisation<br>Hospitality and Events Management<br>• Manage and follow up on the event set up / run down on the respective floor, ensuring everything is in order including technology assistance and all teams involved are prepped for required activities<br>• Assist with coordination of events: supervise the set-up / dismantling of event venues, perform risk assessments. Liaise with necessary teams (security, housekeeping etc…) as necessary to ensure a consistent level of service<br>• Provide food and beverage service for external/ client suite meetings or events. Manage with Hospitality lead and coordinate with vendors if necessary for large catering functions, fine dining, any special requests etc…<br>• Supervise and be present throughout event<br>• Assist with any ‘ad hoc’ requirements or request related to functions and events<br>• Assist with communications to promote, confirm attendances, create name badges etc…<br>• Assist with any other internal events lead by business as requested<br>• Provide team briefs for wider workplace team on upcoming events, conferences, client suite events to ensure up to ensure all teams are aware of activities<br>Reception and Visitor Management<br>• Always deliver 5* customer service with a professional and presentable appearance<br>• Meet and greet all staff, customers and visitors professionally and cheerfully<br>• Ensure reception desks, waiting areas and internal meeting rooms are maintained to highest standards of tidiness and cleanliness as outlined in any operational KPIs<br>• Serve as an information source for staff and customers- assist and advise with any inquiries on building facilities, meeting room locations, special events, surrounding amenities as appropriate<br>• Be approachable and interact with guests and members of staff of all levels in a professional and friendly manner<br>• Manage all visitor categories in line with security protocol</p><br><p>• Inform hosts of the arrival of their guests or escort to host/ meeting room (in line with security practices)<br>• Monitor waiting areas to ensure visitors are collected/attended to in a timely fashion, interacting as appropriate<br>• Issue and control visitor security passes; Liaise and interact with security to guarantee a safe working environment for all visitors and staff<br>• Proactive premises inspections, proactively raise work orders for surrounding areas to report any maintenance issues, cleanliness issues or system faults where necessary<br>• To be customer focused at all times, by being visible at the reception desks and developing relationships with staff and customers<br>• Suggest ideas for developing and evolving the reception services and assist in implementing these ideas<br>• Regularly monitor customer feedback and produce an appropriate action plan based on the results<br>• Welcome new joiners and provide in person or virtual orientation tours/ supporting documentation and media<br>• Brief visitors on arrival on fire evacuation procedures- emergency exits, evacuation routes and assembly points<br>Pantry and Utility Management<br>• Ensure high end user satisfaction for all pantry and social hub services. All pantry consumables shall be of good quality and appropriate selection is provided<br>• Ensure sufficient supply of pantry consumables for day to day operations- replenish/ order stock if necessary<br>• Ensure stationery cabinets and first aid boxes are replenished with consumables<br>• Proactively check the pantry and social hub areas are kept clean, hygienic, orderly and dry always.
