Position Description:Provides telephonic scheduling for patients calling with one of the many services of the American Hospital Dubai. Coordinates the booking of appointments to optimise clinic function. Supports the successful achievements of the Clinic Operations strategic goals. Executes the scope of services of each Clinic represented and will aid in directing the patients to the most proper clinic for their specific needs. <br>Position Responsibility:Answers phone calls politely and cordially. Maintains proper telephone etiquette. Facilitates patients to find the most appropriate physician for their questions and/or health-related complaints. Prioritises tasks, ensuring effective functioning of the area. Follows the chain of command in reporting incidents or concerns. Prioritises workload and completes correspondence on time. Provides information to prospective customers and hospital staff by answering all specific inquiries regarding patients' queries. You will act as the Chairman’s execution arm across business and personal administration, stakeholder coordination, travel, and high-sensitivity matters.
Key Responsibilities
• Own the Chairman’s end-to-end calendar management, time protection, and priority planning (business and personal).
• Translate requests into actionable plans: assign owners, set deadlines, follow up aggressively, and close loops.
• Prepare daily/weekly briefing packs: agendas, background context, decision points, and recommended options.
• Coordinate meetings (internal/external), capture action items, and drive accountability through to completion.
• Manage communications (WhatsApp, email, calls): draft messages, filter inbound requests, with a professional tone.
• Handle executive travel end-to-end: flights, hotels, transfers, itineraries, visas (as applicable), and contingency planning.
• Coordinate events and VIP engagements: board meetings, dinners, investor/partner meetings, and special occasions.
• Manage sensitive documents and workflows: signatures, couriering, filings, attestations/legalization when needed.
• Maintain strong vendor relationships and negotiate premium service outcomes (reliability, quality, urgency).
• Support personal assistance tasks as required with strict confidentiality and high standards.

• 5–8 years’ experience as EA/PA to Chairman/CEO/Founder in a high-pressure environment.
• Strong UAE knowledge and local network awareness (vendors, locations, executive services, and business culture).
• Valid UAE driving license and confident driving across the UAE.
• Excellent English communication (written and spoken). Arabic is a plus.
• Advanced proficiency in MS Office / Google Workspace (Calendar, Email, Docs/Word, Sheets/Excel, Slides/PowerPoint).
• Strong stakeholder management skills with VIP-level professionalism and presence.
• High integrity, confidentiality, and reliability with sensitive information.
Availability & Travel
• Flexible working hours based on the Chairman’s schedule (early/late as required).
• Able to support urgent priorities outside standard hours, including weekends and public holidays when business-critical.
• Comfortable being reachable for time-sensitive matters and responding with speed and clarity.
• Willing and able to travel locally and internationally on short notice as required.
Preferred (Nice-to-Have)
• Experience in private office, family office, investment, real estate, or multi-business Chairman office environments.
• Strong systems mindset: building trackers, SOPs, dashboards, and routines to improve execution quality.
• Experience coordinating across multiple time zones and handling last-minute changes calmly.
• Familiarity with task tools (Asana/ClickUp/Notion/Trello) and creating reporting rhythms.

Ensure that all mise en place is prepared to the highest quality as per standards set by the superiors. Ensure the set up and replenishment of buffets. Assist superiors in the pickup of requisition and in organizing it in the corresponding storage. Inform superior of ingredient quantities when the stock levels are low and ensures there are always enough for the day-to-day usage. Store ingredients in dedicated containers, making sure that they are best preserved and labelled according to standard. Cleans and sanitizes the working surfaces, tools, utensils and working area before and after usage as per food safety standard. Report cleanliness and maintenance issues of the kitchens and stewarding area to and support daily checks done by his superiors. Adhere to strict personal hygiene standards at all times. Ensure to follow through the food safety safe and sound standard set by Mandarin Oriental Hotel and in accordance’s to the UAE’s Municipality rules and regulation. Ensure customer satisfaction in accordance to the MOHG Legendary Quality Experiences (LQEs), the MOHG Pillars and the respective service standards of MOQA. Work as part of the team and assist other colleagues if required. Support other outlets and banquet if requested by superiors. Attend and participate in all required meetings and training as scheduled. Perform any other reasonable duties as required by the superiors.<br><br>As a Commis 2, MICE, We Expect From You<br><br>High School qualification or equivalent. Degree or Higher National Diploma in Hospitality/Culinary art is preferred. A minimum 1 year of culinary experience working as Commis 1 & 2 in a high-volume hotel or free-standing restaurant is preferred. Basic experience in preparing and cooking food. Basic knowledge about the confectionary, chocolate. Ability to work long hours with a strong focus on operational excellence. Ability to move, lift, carry, push, pull, and place objects weighing less than or equal to 15 kg without assistance.
