Manage the day-to-day administration of the Dubai office, including office supplies, facilities, and vendor coordination. Support the setup and ongoing management of the new office, including sourcing furniture and equipment, coordinating IT and telecom installations, and processing related purchases and deliveries. Act as the primary point of contact for landlords, building management, and office service providers. Manage lease agreements, maintenance requests, service contracts, and all related office correspondence and documentation. Maintain organized physical and digital filing systems for contracts, vendor agreements, invoices, and other office-related records. Prepare, process, and track purchase orders, invoices, and expense claims related to office operations. Ensure office health and safety standards are maintained in line with local regulations and company requirements. Manage office access, seating arrangements, and inventory of office supplies. Handle incoming and outgoing mail, courier services, and general office correspondence. Coordinate meeting logistics and administrative arrangements for visiting management, clients, and business partners. Provide administrative support to the HR team as required. Assist with employee medical insurance onboarding, including collection of employee information, enrolment documentation, and coordination with insurance providers. Organize and coordinate employee engagement initiatives and company events to support a positive workplace culture.<br>What will you need to be able to do the job? Minimum 2 years of experience in an administrative, office management, or similar role. Experience managing a high volume of office documentation, records, and administrative processes. Strong administrative and document management skills with excellent attention to detail. Ability to work independently and manage multiple stakeholders and priorities effectively. Fluent in English, both written and spoken. Proactive approach with the ability to work with minimal day-to-day supervision.
