This is a hands-on administrative and clerical role supporting the daily running of the office and the operational needs of the management team.</p><p>This is not an executive assistant position and it is not a business development or marketing role. The work is administrative, procedural and documentation-driven. We are looking for someone who is organised, reliable and comfortable owning routine processes end to end, day after day, without needing to be reminded.</p><p><b>Key Responsibilities</b></p><ul><li>Manage the day-to-day running of the office: supplies, deliveries, vendors, building and facilities coordination, visitor reception</li><li>Handle company documentation: filing, scanning, archiving, version control, maintaining physical and digital records</li><li>Process government and free zone paperwork: visa applications and renewals, Emirates ID, medical appointments, establishment card, trade licence renewals, TECOM and DIC portal submissions</li><li>Coordinate with PRO services, insurance providers, banks and external suppliers</li><li>Manage calendars, book meeting rooms, arrange travel and hotel bookings, prepare basic itineraries</li><li>Draft, format and proofread routine correspondence, letters and internal documents in English</li><li>Maintain accurate logs of invoices, receipts and expense records, and pass them to accounting</li><li>Answer incoming calls and the general company inbox, route enquiries to the right person</li><li>Prepare the office for client and partner visits</li><li>Support the management team with recurring administrative tasks and follow-ups</li></ul><p><b>Requirements</b></p><ul><li>Minimum 2 years of experience as a secretary, office administrator or administrative assistant in the UAE</li><li>Fluent written and spoken English.
