Health, Safety & Fire Compliance</strong></p><ul><li><p>Ensure full compliance with applicable HSE and fire/life-safety requirements across the entire building.</p></li><li><p>Oversee inspection, testing, and maintenance of:</p><ul><li><p>Fire alarm systems</p></li><li><p>Firefighting systems</p></li><li><p>Fire extinguishers and hose reels</p></li><li><p>Emergency lighting</p></li><li><p>Emergency exits and escape routes</p></li></ul></li><li><p>Coordinate statutory inspections, certifications, emergency drills, and corrective actions.</p></li><li><p>Identify safety hazards during regular building inspections and ensure immediate corrective measures.</p></li><li><p>Coordinate with Dubai Civil Defence and relevant authorities/service providers when required.</p></li></ul><p><strong>6. Utilities & Building Services</strong></p><ul><li><p>Monitor and manage electricity, water, air-conditioning, and other building utilities.</p></li><li><p>Review utility consumption and identify abnormal usage, leakage, wastage, or efficiency issues.</p></li><li><p>Coordinate directly with utility and service providers for faults, maintenance, upgrades, and service requirements.</p></li><li><p>Oversee housekeeping, waste management, pest control, landscaping, security, and other building support services.</p></li><li><p>Ensure all areas of the property are maintained according to company standards.</p></li></ul><p><strong>7. Security & Building Access</strong></p><ul><li><p>Oversee building security and access requirements in coordination with internal security personnel.</p></li><li><p>Manage contractor, visitor, delivery, and service-provider access in accordance with company and JAFZA procedures.</p></li><li><p>Ensure CCTV, access control, gates, barriers, and other security-related systems remain operational.</p></li><li><p>Coordinate immediate action regarding building security incidents or access-related concerns.</p></li></ul><p><strong>8. Documentation, Budget & Reporting</strong></p><ul><li><p>Maintain complete records for the entire building, including:</p><ul><li><p>Building assets and equipment</p></li><li><p>Preventive maintenance schedules</p></li><li><p>Maintenance and repair history</p></li><li><p>JAFZA permits and approvals</p></li><li><p>AMC and service contracts</p></li><li><p>Contractor and supplier records</p></li><li><p>Authority certificates and inspection reports</p></li><li><p>Utility records</p></li><li><p>Safety and incident reports</p></li></ul></li><li><p>Track expiry and renewal dates for contracts, permits, certificates, and statutory inspections.</p></li><li><p>Prepare regular reports covering building condition, maintenance status, pending issues, costs, compliance matters, and required improvements.</p></li><li><p>Assist management with annual maintenance budgets, quotations, cost comparisons, and facility improvement planning.</p></li></ul><p><strong>Desired Candidate Profile</strong></p><ul><li><p>Bachelor's degree or diploma in Business Administration, Facilities Management, Engineering, or a related field.</p></li><li><p>Proven experience in office administration and facilities management.</p></li><li><p>Experience managing commercial building operations is preferred.</p></li><li><p>Working knowledge of JAFZA permit processes and regulatory requirements.</p></li></ul><p><br></p><p><strong>Required Skills</strong></p><ul><li><p><strong>&nbsp;</strong></p><ul><li><p>Diploma or Bachelor’s degree in <strong>Facilities Management </strong>or related discipline.</p></li><li><p>Minimum <strong>5 years of relevant UAE experience in building and facility management</strong>.</p></li><li><p>Must have proven experience being responsible for the <strong>complete management of an entire standalone building or property</strong>, including its technical systems, common areas, external areas, utilities, maintenance, safety, and regulatory requirements.</p></li><li><p>Strong preference for candidates who have worked with a <strong>company that directly owns and manages its own building/facility</strong>, with hands-on responsibility for the complete property.</p></li><li><p>Previous experience managing a building or facility <strong>within JAFZA is highly preferred</strong>.</p></li><li><p>Good knowledge of <strong>JAFZA permits, facility procedures, contractor requirements, and authority coordination</strong>.</p></li><li><p>Strong working knowledge of HVAC, electrical, plumbing, firefighting, generators, pumps, and general building systems.</p></li><li><p>Experience directly managing maintenance contractors, AMCs, security, housekeeping, and other facility service providers.</p></li><li><p>Good understanding of UAE HSE and fire/life-safety requirements.</p></li></ul></li><li><p>Proficient in Microsoft Office applications (Word, Excel, Outlook, and PowerPoint), with advanced Microsoft Excel skills including Pivot Tables, VLOOKUP/XLOOKUP, formulas, data analysis, and reporting.</p></li></ul>
