Departmental Coordination & Operations</p><br><p>Manage the Director’s schedule, correspondence, meeting coordination, and travel arrangements.</p><br><p>Prepare meeting agendas, take minutes, track action items, and follow up on departmental decisions and pending approvals.</p><br><p>Coordinate internally across teams and departments on behalf of the Director to facilitate timely information flow and decision-making.</p><br><p>Maintain an organised departmental calendar aligned with key institutional events, deadlines, and reporting cycles.</p><br><p>Support onboarding of new team members and coordinate logistics for departmental meetings and offsites.</p><p>B. Project Management Support</p><br><p>Track the progress of active communications projects and campaigns, flagging delays and maintaining updated status reports.</p><br><p>Maintain a centralised project tracker covering all active workstreams across the department and external agencies.</p><br><p>Coordinate with agency partners on deliverable timelines, submission schedules, and approval workflows.</p><p>•</p><p>Assist in preparing project briefs, presentations, and internal updates for the Director’s review.</p><br><p>Support the planning and logistical coordination of departmental events, press activities, and institutional programmes.</p><br><p>C. Procurement & Vendor Management Support</p><br><p>Manage the end-to-end procurement process for departmental purchases, including raising purchase requisitions, obtaining quotations, coordinating approvals, and issuing purchase orders.</p><br><p>Liaise with the Finance and Procurement departments to ensure timely processing of contracts, purchase orders, and renewals.</p><br><p>Maintain an up-to-date vendor register for all agency and supplier relationships, including contract expiry dates and renewal schedules.</p><br><p>Support the preparation of RFPs and tender documents in coordination with the relevant team members.</p><br><p>Track agency contract performance milestones and flag upcoming renewals or obligations to the Director.</p><br><p>D. Financial Tracking & Budget Management</p><br><p>Monitor the department’s operational budget, tracking expenditure against approved allocations and flagging variances.</p><br><p>Process and track invoices from agencies and vendors, coordinating with Finance to ensure timely payment.</p><br><p>Maintain a departmental expenditure log and produce monthly budget status summaries for the Director.</p><br><p>Support the preparation of annual and project-specific budget proposals and financial forecasts.</p><br><p>Ensure all financial documentation is complete, accurate, and filed in accordance with institutional policies.</p><br><p>E. Archiving & Records Management</p><br><p>Maintain a comprehensive and well-organised digital archive of all departmental outputs, including campaigns, reports, contracts, approvals, and correspondence.</p><br><p>Implement and enforce a consistent filing and naming convention across all departmental records.</p><br><p>Ensure all communications assets, templates, brand files, and reference materials are version-controlled and accessible to the team.</p><br><p>Manage the retention and disposal of departmental records in line with institutional and regulatory requirements.</p><br><p>Serve as the departmental point of contact for document requests, audits, and compliance reviews.</p><br><p>F. Marcom Support</p><br><p>Provide support in coordinating content, design, and production deliverables between internal teams and external agencies.</p><br><p>Assist in the preparation of communications and marketing materials, presentations, and reports as required by the team.</p><br><p>Support the logistics of press activities, filming sessions, media briefings, and institutional events.</p><br><p>Ensure adherence to local and federal HSE policies and standards.</p><br><p>Perform any other duties assigned by direct supervisor, in line with role level and organisational priorities.</p><p>G. <h4>What you will do</h4>

<li>To oversee all aspects of a profit and service driven Catering and Conference Services Department.</li>
<li>Supervision of the conference services, catering sales and administrative staff in their day-to-day roles. Including maintaining and monitoring the accuracy and effectiveness of all written communications. These include but are not limited to: Banquet Event Orders, Resumes, Daily Events Report, Golden Sales & Catering Input Standards, and Guest at Leisure Reports.</li>
<li>Review for accuracy and assign to the Conference Services Managers all booking turnovers from the Sales Department.</li>
<li>Prepare with analysis the Catering and Conference Services weekly 3-month financial forecast, month end financial summaries, and contribute to the annual Marketing Plan and Budget.</li>
<li>The ability to assist in developing and executing projects for assigned market areas to increase catering activity, volume and profit.</li>
<li>Act as the liaison for all vendor/supplier related clients’ needs, (i.e. Audio Visual, Florists, Entertainment, Transportation, DMC, and Off-site Locations etc.).</li>
<li>Complete periodic audits of the Account and Booking Data in Golden Sales & Catering to include but not exclusive to Conflict Report, Account Traces, Post Conference Reports.</li>
<li>Evaluate current sales practices and make recommendations to maximize the profitability of the Catering and Conference Services resources.</li>
<li>Oversee the quarterly administration and seek new ways to motivate and maximize revenues with the Catering and Conference Services Incentive plans.</li>
<li>Finalize the requirements of personally booked or assigned Catering and Conference Services bookings while maximizing revenue potential through up selling and ensuring effective communication both written (Resumes, BEO, Daily Reports) and personal contact with all departments for the success of the event. Ensure accuracy of Banquet Checks and provide bill review on completion of program or event.</li>
<li>Supervise the execution of banquet events. Review all function space with banquet manager and when necessary head house attendant. Ensure satisfaction of client at the outset of all events. Make timely and impromptu decisions, which balance client’s needs with the financial, safety and staffing goals of the hotel.</li>
<li>Find solutions to the inevitable challenges and glitches that arise while groups are on property and keep Commercial Director and Planning Committee promptly and fully informed of all problems or unusual matters so prompt corrective action can be taken where appropriate.</li>
<li>Maintain knowledge of hotel facilities, capacities and dimensions of meeting space and basic operational needs of all operating departments.</li>
<li>Plan and/or attend and/or participate in meetings with hotel staff and clients, including but not exclusive to: Morning Operations Briefing, Morning CS Briefing, Resume Meeting, Banquet Event Order Meeting, Sales Meeting, Pre-Convention Meetings, Bi-Monthly Board of Operations, Planning Visits, and Menu Tastings.</li>
<li>Conduct performance evaluations and mentor Conference Service Managers, and Administrative Assistants to develop and prepare Managers and Staff for future promotion and possible transfer within Four Seasons. Facilitate and monitor training, recommend the hiring, terminating, or disciplining of any Catering or Conference Services employee.</li>
<li>Respond according to the crisis management plan to any resort emergency or safety situation.</li>
<li>Comply with Four Seasons standards for sales and marketing (commercial), while working harmoniously and professionally with co-workers and planning committee.</li>
<li>Comply with Four Seasons Category One and Two Work Rules and Standards of Conduct as set forth in EmPact.</li>
<li>Assist with all inquiries within the sales, marketing and catering department, including assistance with high telephone volume and walk-in site inspections.</li>
<li>Maintain an active and visible role in the local business and social community to generate new business, recruit future employees and managers, and support the public relations efforts of the resort.</li>
<li>Periodically host and ensure maximum effectiveness of Banquet Event Order Meetings, and Resume meetings.</li>

<h4>Our expectations from the role</h4>
<p>Our Heart of House Specialists play an important role in support of a number of vital hotel functions. At our hotels these associates may work across departments (e.g., kitchen, food and beverage) to support cleaning needs. Operating and maintaining cleaning equipment and tools (e.g., dishwashing machines, manual pot washing, hand wash stations), or transporting dishware across the hotel, these associates do whatever it takes to get the job done.</p>

<h4>Dishwashing activities</h4>

<li>Ensure clean wares are stored in appropriate areas.</li>
<li>Clean the dishwashing machine, including removing trash and spraying the inside of the machine, cleaning and unclogging the spray arms and jets, cleaning the outer surfaces of the machine and troubleshoot dishwasher malfunctions as required.</li>
<li>Use detergent, rinsing, and sanitizing chemicals in the two-compartment sink at the appropriate levels to clean dishes, ensuring the sanitizer levels are between 200 and 400 parts per million and that the water temperature is sufficiently hot.</li>
<li>Ensure water temperature and chemical levels are appropriate to run the dishwashing machine, and complete proper documentation.</li>
<li>Rack dirty items (silverware, plate ware, etc.).</li>
<li>Sort silverware with eating surfaces facing up into separate cylinders and wash or re-wash.</li>
<li>Inspect, pull, and stack cleaned items, send soiled items back for re-scrubbing and re-washing.</li>
<li>Spray all racked items with hot water to loosen and remove food residue.</li>
<li>Breakdown dirty bus tubs.</li>
</ul>
<h4>Maintenance, sanitation, and cleaning activities</h4>
<ul>
<li>Follow and ensure compliance with sanitation and cleaning procedures and pest control guidelines, reporting pest control issues to appropriate personnel.</li>
<li>Empty trashcans, ensuring each can is clean, relined, and covered, and maintain dumpster area.</li>
<li>Wash and disinfect kitchen and linen storeroom areas, tools, utensils and equipment.</li>
<li>Clean and mop all areas in assigned departments (e.g., sink area, shelves and counters, tops of chemical bottles, outside of the dish machine, dish room door and walls, bus carts).</li>
<li>Clean and maintain sanitation areas and organize cleaning supplies including hanging up mops and brooms.</li>
<li>Organize cleaning chemicals and supplies and ensure they are stored appropriately and kept separate from food products.</li>
<li>Keep hand wash stations maintained (for example, supplied with soap, towels, step-on trashcan, gloves, and proper signage) and fully functional.</li>
<li>Ensure proper and safe handling and storage of equipment, returning equipment to appropriate location.</li>

<section><p class="heading jdMain">Job Description</p><p class="heading">Roles & Responsibilities</p><div class="paragraph"><ul><li><p>Ensures both personnel and vehicle readiness and availability to respond to accident or sudden illness or emergencies.</p></li><li><p>Responds to the medical emergency calls, drives to the scene and provides basic life support to the victims before they are transported to the hospital. </p></li><li><p>Evaluates the nature and extent of illness/injury to determine the right course of actions. Conduct patient assessment, including interpretation of ECG.</p></li><li><p>Provides medical aid such as AED, CPR, prevents spinal damage, ventilation, control severe bleeding; prevent shock, bandaging wounds, etc., to stabilize their condition. </p></li><li><p>Administration of activated charcoal, oral glucose and oxygen. </p></li><li><p>Constantly assesses the patient enroute to the emergency facility, administers additional care as indicated or directed by medical control. </p></li><li><p>Maintains vehicles and medical and communication equipment, and replenishes first-aid equipment and supplies. </p></li><li><p>Restocks all supplies in the ambulance and replace used blankets, linens and other supplies. </p></li><li><p>Cleans all equipment following appropriate disinfecting protocols.</p></li><li><p>Continuously reassures the patient enroute to the emergency facility. </p></li><li><p>Assists all EMT paramedics in efficient advance life support care system. </p></li><li><p>Performs direct illness/injury assessment, provides basic emergency pre-hospital patient care to the ill and injured prior to and during ambulance transfer, and transfer of information to receiving facility. </p></li><li><p>Maintains operational and functional readiness of ambulance unit, medical and other equipment, to ensure continuum of emergency services. </p></li><li><p>Works closely with communications officers, field supervisors, emergency department and other hospital personnel, the police dep't., the fire dep't., and other individuals, to deliver basic emergency and non-emergency medical services to the general public. </p></li><li><p>Respond to calls from communications dispatcher, use appropriate radio communication skills, read GPS maps, drive the ambulance safely to and from the scene of injury or illness, use the most expeditious route, and observe traffic ordinances and regulation - with the goal to locate the patient needing EMS services in the shortest response time possible. </p></li><li><p>Assists in lifting, carrying, transporting patient to ambulance and on to a medical facility, reassuring patients and bystanders, avoiding mishandling patient and undue haste, and to provide additional emergency care following established protocols. </p></li><li><p>Follow established departmental policies, procedures and objectives, continuous quality improvement objectives, and safety, environmental, and/or infection control standards in the performance of duties. </p></li><li><p>Inspect and clean ambulance and equipments;
